TERMS AND CONDITIONS FOR REFLAXATION

These terms and conditions (“Terms”) govern the use of Reflaxation’s conference and event room, product sales, and acoustic interior design services (“Services”). By using our Services, you agree to be bound by these Terms.

CONFERENCE AND EVENT ROOM RENTAL

1.      Reservations: Reservations for the conference and event room can be made by contacting Reflaxation by phone or email. A reservation is not considered confirmed until the rental fee has been paid in full.

2.     Confirmation: All bookings will be treated as provisional until such time as Reflaxation receives a signed copy of this contract and deposit if applicable. 

3.     Cancellation Policy: Reflaxation requires a 48-hour notice of cancellation for a full refund. Cancellations made with less than 48 hours’ notice will forfeit the rental fee.

Reflaxation reserves the right to cancel a booking if:

(a)   Reflaxation is closed due to fire or as a result of any circumstance beyond the reasonable control of Reflaxation

(b)  The hirer is more than 30 days in arrears in payment to Reflaxation. 

4.    Rental Period: The rental period for the conference and event room is from the agreed start time to the agreed end time. Any additional time beyond the agreed rental period will be subject to an additional fee.

5.     Conduct: The conference and event room must be used in a professional manner. Any damage to the room or its contents will be the responsibility of the renter. The hirer shall not use the rooms for any other purpose than that described on the booking form. The hirer shall not sub-hire or allow the rooms to be used for any unlawful purpose or in any unlawful way. The hirer shall not do anything which may endanger Reflaxation, its reputation or any insurance policies in respect of Reflaxation.

6.     Liability: Reflaxation is not responsible for any injury, loss, or damage to persons or property that occurs during the rental period.

7.     Equipment: Any portable electrical equipment brought onto the premises must have a current portable appliance test certificate.

8.    Finishing times: Conferences, meetings and functions are required to finish at a time agreed when the booking is made. Extensions to such agreed times shall not be possible without prior agreement with Reflaxation. 

9.     Payment: Payment is due seven days from issue of the invoice. 

·       Please note all conference bookings made three months in advance will require a 20% non-refundable deposit. 

·       Payment in advance will be required for all new client’s initial booking at the business centre. Please note a booking fee will apply.  

10.  Health and Fire Safety: The hirer is required to make themselves and guests aware of and adhere to all health, safety and fire regulations at Reflaxation. The building is strictly no smoking throughout. Smoking is only permitted outside of the building. 

PRODUCT SALES

These terms and conditions (“Agreement”) govern the sale and purchase of customised products (the “Product(s)”) by Reflaxation (“Seller”) to the person or entity purchasing the Product (“Buyer”).

1.      Order Placement and Acceptance: Orders for Reflaxation’s products can be placed through our website or by contacting Reflaxation by phone, email or visiting the Showroom. The price of the product, as well as any applicable taxes and shipping fees, will be clearly stated at the time of purchase. Seller reserves the right to reject any order at any time for any reason. 

2.     Pricing: All prices for Products are listed in our catalogue. Prices are subject to change without notice. The price charged for a Product will be the price in effect at the time the order is placed, since all our Products are customised. 

3.     Payment: Payment for products must be made in full at the time of purchase. Payment may be made by credit card or other payment methods accepted by Seller. 

4.    Shipping & Delivery: Reflaxation will make every effort to deliver products in a timely manner. Seller is not responsible for any delays or damages caused by events outside of Seller’s control, such as weather conditions, carrier delays, damage by second or third parties. 

5.     Product Warranty: Our customised Products come with a limited warranty that covers any manufacturing defects for a period of 1 year from the date of delivery. This warranty does not cover damage caused by misuse, abuse or normal wear and tear. 

6.     Returns & Exchanges: We do not accept returns or exchanges on our customised Products, unless the product is defective or damaged. If you receive a defective or damaged product, please contact us within 7 days of delivery to arrange for a return or exchange.  

7.     Intellectual Property: All intellectual property rights, including copyrights and trademarks, in our products and website content belong to Reflaxation, you may not use our Products or website content for any commercial purpose without our prior written consent. 

8.    Privacy: We value your privacy and will not share your personal information with any third party, except as required by law. 

9.     Disclaimer: Reflaxation makes no representations or warranties of any kind, express or implied, about the completeness, accuracy, reliability, suitability, or availability with respect to our products or website content. We are not liable for any loss or damage arising from the use of our products or website content. 

10.  Governing Law: These terms and conditions are governed by the laws of the Netherlands, and any disputes arising from them shall be resolved through arbitration in accordance with the rules of the Dutch Arbitration Association.

ACOUSTIC INTERIOR DESIGN

Welcome to Reflaxation, where we offer acoustic interior design services to our customers. Please read our terms and conditions carefully before using our services. Ny using our services, you are agreeing to be bound by these terms and conditions. 

1.      Service Agreement: The agreement between Reflaxation and the customer will be established through a written contract. The contract will outline the scope of the project, timeline, and pricing. 

2.     Consultation: Reflaxation offers acoustic interior design consultations. Consultations can be scheduled by contacting Reflaxation by phone or email.

3.     Pricing: Our Pricing for acoustic interior design will be based on the scope of the project and will be outlined in the contract. Any changes to the project scope may result in additional charges. Fees for acoustic interior design consultations will be discussed and agreed upon prior to the consultation.

4.    Design: Reflaxation will provide design recommendations based on the information provided by the client. However, the final decision on design choices will be the responsibility of the client.

5.     Project Timeline: We will provide an estimated project timeline in the contract. The timeline may be subject to change due to unforeseen circumstances such as weather conditions or changes to the project scope. 

6.     Intellectual Property: All intellectual property rights, including copyrights and trademarks, in our designs and website content belong to Reflaxation. You may not use our designs or website content for any commercial purpose without our prior written consent. 

7.     Warranty: We provide a limited warranty that covers any defects in our workmanship for a period of 1 year from the completion of the project. This warranty does not cover damage caused by misuse, abuse or normal wear and tear. 

8.    Liability: Reflaxation is not responsible for any injury, loss, or damage to persons or property that occurs as a result of the implementation of the acoustic interior design recommendations.

9.     Privacy: We value your privacy and will not share your personal information with any third party, except as required by law.

GENERAL TERMS

1.      Intellectual Property: Reflaxation owns all intellectual property rights in and to our Services, including but not limited to the conference and event room, products, and acoustic interior design recommendations.

2.     Indemnification: You agree to indemnify and hold Reflaxation harmless from any and all claims, damages, expenses, and liabilities arising from your use of our Services.

3.     Modifications: Reflaxation reserves the right to modify these Terms at any time. Any modifications will be effective immediately upon posting on our website.

4.    Governing Law: These Terms shall be governed by and construed in accordance with the laws of The Netherlands.

5.     Dispute Resolution: Any disputes arising out of these Terms shall be resolved through mediation or arbitration in The Netherlands.

By using our Services, you acknowledge that you have read, understood, and agree to be bound by these Terms.
